Statement
Our policies page is provided as a helpful guide for attendees, vendors and demonstrators to understand symposium rules and guidelines. It is important to understand each policy to make your weekend as enjoyable as possible. If you have any questions regarding our policies, please direct them to the email address provided.
Vendors
Only vendors approved by the Florida Woodturning Symposium Committee are allowed to sell wood and woodturning products on the Lake Yale Baptist Convention Center Campus during the annual Symposium. Approved vendors have assigned areas within the Maquire Educational Center.
Registration
Symposium Fee - This fee gains you access to all symposium events; instant gallery, trade show, rotations (demonstrations), Friday and Saturday evening events, and chances to win educational scholarships and grants. Accompanying spouses that do not attend demonstrations are not charged the symposium fee and are not eligible for educational grants or demonstration attendance.
Symposium Fee Increase - A symposium fee increase of $25.00 will be charged to all registrations occurring on and after December 1st unless otherwise noted.
Refunds - We will provide a full refund if notification is made 30 days or more prior to the symposium. A $25.00 processing fee is charged if notification is less than 30 days but more than 14 days before the symposium. If notification is 14 days or less before the symposium, refunds are provided in the event of emergencies only and the $25.00 processing fee will be charged.
Meals - Meals must be purchased during registration. When registering, ensure that the meals you desire are indicated on the registration form prior to submission of your registration. Please check your payment invoice to ensure that you are entitled to the meal prior to going to the cafeteria. The cafeteria staff keeps tallies on the number of meals served and the symposium is charged for all excess meals which in turn affects the FWS proceeds which go toward educational scholarships and grants.
Privacy
Online registration information is processed and encrypted in the most secure methods we have at our disposal. Personal infomation that is provided is used only to the extend necessary to plan for capacity of facilities and services. We do not distribute, publish, sell or in any way communicate the registration information provided by our attendees.
Instant Gallery
We encourage everyone to enter pieces in the Instant Gallery during check-in or registration on Friday between the hours of 8:00am and 6:00pm. There will be a number of pieces in the Instant Gallery critiqued during the Friday evening events. We request that you limit the number of pieces submitted to the gallery to three (3) per registrant and recover your pieces by 1:00pm Sunday. Security is provided for the gallery during the symposium, but the FWS cannot be held liable for any damage or loss.
Scholarships and Grants
Only attendees that have paid the appropriate symposium fee are eligible to receive a scholarship or educational grant. Drawings for the scholarships and grants are held during the Saturday evening events. You do not need to be present to win. If you win and are not present, you will be contacted by email. If you do not respond within two (2) weeks, an alternate winner will be selected. Winners will be given a packet explaining how to receive reimbursement for the grants and scholarships which has to be submitted in writing using the supplied form and mailed to the FWS Treasury's address indicated in the packet.
Auction and Raffle
The Auction and Raffle are held during the Saturday evening events. You must be present to win. Auction cards are provided in the check-in package and must be used by the registrant only. The auction is open to the public. Walk-ins may obtain an auction card by paying the daily access fee required by LYBCC which is presently $11.00. Items purchased may be paid for by cash, check or credit card. During the auction the FWS committee members acting as spotters and the auctioneer will determine the bidding sequence. Once the auctioneer has pronounced an item sold, all bidding will immediately cease and bidding will not be reopened. The auctioneer's decision is final. The auction is to benefit our education program and we encourage everyone to consider donating auction items which are of interest to woodturning enthusiasts.
Lake Yale Baptist Conference Center Policies
Lake Yale strictly enforces the following rules:
- No Alcohol is allowed on the LYBCC compound.
- No smoking is permitted in any building on the compound. Lake Yale charges a cleanup fee of $100.00 if there is any sign of smoking within the rooms, $10 for missing room keys and charges accordingly for missing room items such as blankets, towels, etc..
- LYBCC charges a daily access fee for each person attending functions on their premise. Presently, this fee is $11.00 and is included in the hotel rates and RV sites (driver only) per night. Additional RV occupants are charged this fee as appropriate. Commuters are charged this fee for each day they attend.
- Pets are allowed in the RV site only. They are to remain inside unless being walked in the RV area on a leash.
